Objective

To facilitate the development of processes, process manuals, and SOPs to improve operational efficiency and identify process gaps.

Scope

This SOP applies to all Schools, University Management Offices (UMOs), and administrative units participating in process documentation and improvement initiatives.

Process Description

Process Mapping

  • Collaborate with Schools, UMOs, and administrative units to map key processes related to their core functions.
  • Document current workflows to establish a baseline for improvement.

Identification of Gaps and Inefficiencies

  • Analyze mapped processes to identify gaps, redundancies, bottlenecks, and inefficiencies.
  • Prioritize areas requiring immediate improvement or redesign.

Development of Process Documents and SOPs

  • Facilitate the development of standardized process documents, process manuals, and SOPs.
  • Provide templates and technical support to ensure consistency in documentation.

Review and Refinement

  • Review drafts of process documents and SOPs for clarity, operational efficiency, and compliance with institutional standards.
  • Refine documents through collaborative feedback from relevant stakeholders.

Implementation and Initial Monitoring

  • Support Schools, UMOs, and units in implementing newly developed or revised processes.
  • Monitor the initial phase of implementation to ensure smooth adoption and address early challenges.

Periodic Review and Continuous Improvement

  • Conduct scheduled reviews to assess the relevance and effectiveness of documented processes.
  • Update processes, manuals, and SOPs based on feedback, operational changes, and evolving institutional needs.
