Policy Communication and Portal Management at UMT
Objective
To ensure timely communication of updated policies and efficient management of the UMT Policy Portal for institutional access and compliance.
Scope
This SOP applies to all Schools, UMOs, Centers, and stakeholders accessing or impacted by UMT’s policies.

Procedure
1. Communication of Updated Policies
• Develop and implement a communication plan for timely dissemination of new and updated policies.
• Notify stakeholders of updated policies through official emails, meetings, and the UMT Policy Portal.
• Provide summaries of key changes to facilitate easy understanding.
• Conduct training sessions or workshops to explain major new or revised policies when necessary.
• Monitor stakeholder compliance with updated policies.
• Address queries and feedback related to policy updates promptly and effectively.
2. Management of the UMT Policy Portal
• Ensure the Policy Portal remains accessible, user-friendly, and updated.
• Upload all approved policies and frameworks promptly after final approval.
• Organize policies systematically by category, office, and approval date for easy retrieval.
• Conduct regular audits to ensure that all listed policies are current and approved.
• Implement security measures to safeguard sensitive and confidential policy documents.
