Performance Monitoring, Analysis, and Reporting at UMT
Objective
To systematically collect, analyze, and report performance data to support informed leadership decisions and continuous institutional improvement.
Scope
This SOP applies to all UMOs, Professional Centers, and relevant units involved in performance reporting and data analysis.

Procedure
1. Performance Report Collection and Review
• Develop and distribute standardized templates for periodic and annual performance reports, including clear submission deadlines.
• Collect submitted reports, verifying completeness and accuracy.
• Conduct initial reviews to identify emerging trends, gaps, and performance issues.
• Archive all reports securely for reference and audit purposes.
• Share preliminary findings with Senior Leadership.
2. Performance Data Analysis
• Extract relevant data from collected reports using analytical tools and methods.
• Identify key performance trends, strengths, gaps, and areas requiring improvement.
• Create data visualizations (charts, graphs, dashboards) to present findings clearly.
• Validate findings with relevant unit heads to ensure data accuracy.
• Document insights in a comprehensive analysis report.
• Present the final analysis report to Senior Leadership for informed decision-making.
3. Report Development and Submission
• Identify reporting requirements from Senior Leadership (e.g., periodic updates, performance proposals).
• Gather data and necessary inputs from stakeholders and relevant units.
• Draft reports using standardized formats and templates, ensuring clarity, accuracy, and alignment with institutional goals.
• Review and finalize reports through an internal quality check process.
• Submit finalized reports to the relevant leadership within specified deadlines.
• Maintain a record of all submitted reports, including date and purpose.
