Section 1. Course Registration & Related Information

When do currently enrolled participants get registered for the next semester?

Course registration of continuing participants for the upcoming semester is done in advance, i.e. 2 weeks before the commencement of the next semester. Participants will register online through Student Portal.

When do fresh participants get registered for courses?

The course registration of undergraduate programs for fresh participants will be done automatically.
Fresh participants of MS/MPhil/PhD program participants can enroll on Orientation Day and during the first week of their classes.

How much course load can a participant take in a semester?

A participant is required to register for courses as per Institutes/School offerings. The participant may register for up to 18 credit hours in undergraduate programs and 12 credit hours in graduate programs, in a regular semester irrespective of their CGPA.
In the summer session, only two courses or up to 8 credit hours (deficiency and repeat courses only) are allowed.

When and how can a participant make changes in registration?

As per Academic Calendar, the change in the courses is allowed during add/drop period only. Section change is permitted during the week of Courses Add/Drop.
However, upon commencement of classes, a week is reserved for the Add/Drop of elective courses only with an option to only drop any core course (if required). Course Add or Change of Section of 'Core' courses will not be allowed during this week of Courses Add/Drop. These changes can be made via the Student Portal.

How can I repeat a course?

The course(s) with “F”, “SA” “C-“and “W” grade(s) may be repeated in a regular semester(s) as well as in the Summer session if offered. However, MS/Mphil or equivalent programs participants may repeat “C” grade(s) as well. It is subject to registration by the participant concerned within the due dates. Participants are required to complete the normal semester activities (class attendance, assignments, quizzes, mid-term exam, and final examinations).
Any type of scholarship or financial aid shall not be applicable in such cases.
Maximum of five courses can be repeated in an eight-semester degree program and two courses in a four-semester degree program. In this case, both the course and the grade obtained shall appear on the transcript, however, the higher grade shall be counted in the CGPA.

What if the registration period is over but registration is unsuccessful?

Immediately contact the PRS Help desk for registration.

Who will be resolving my section clash and capacity issues?

For any query regarding capacity and time clashes between courses, please contact your Advisor, Department Coordinator, or Chairperson.

When can I apply for Independent study?

A participant may opt for an independent study with the consent of the concerned department.
The participant is required to pay Rs. 20,000/- independent study fee in addition to course fee

What Mandatory Conditions are for registration of IS?

Following are the conditions for independent study;

Independent study at the graduate level is not allowed, whether group, independent or otherwise.
Only one independent study option is allowed during the degree program.
It should be the last semester and only one course should remain which was previously graded as ‘F’ or if the participant is enrolled in the 12th semester, in case of non-PEC undergraduate programs and 14th in case of PEC undergraduate programs.
If the course is being offered in a semester, the participant shall not be eligible to apply for an independent study option.
Maximum B+ grade shall be awarded.
A participant will apply for Independent Study through the online Student Portal.

What is the Procedure for course registration if registration was blocked due to fee default?

Course registration after the add/drop period is not allowed. However, if a participant could not register for the courses even in the add/drop period due to fee default, they must get their account enabled after payment of outstanding dues. Participants must pay their dues. After payment of outstanding dues, participants request the accounts office helpdesk in Admin Building to unblock their ID and then immediately contact PRS/ORG for the enablement of Registration.
Participants can also email paid fee voucher photos to [email protected] and request unblock.
If a participant is awarded the Rector or Dean Award and he/she has not been facilitated financially in quarterly payment, his/her settlement will be decided at the time of final clearance.
For last semester, the Dean or Rector award will not have any financial impact.
As per UMT policy, a participant may not claim any scholarship/discount after completion of his/her degree.

What is the thesis registration process, if a participant has completed all his required coursework, and comes after a gap of more than two semesters?

Re-admission charges are to be paid after the recommendation from the respective Dean and approval of the Registrar, subject to the maximum permissible degree duration.

Section 2. Fee, Scholarship, and related information

Does UMT offer any type of scholarship?

Yes, UMT offers merit-based and nonmerit-based scholarships.

What is the procedure to pay a fee in installments or get an extension?

Participants are required to pay their dues on or before the prescribed due date which is the first of March, June, September, and December.

However, payment in installments or extensions is allowed. A participant is required to apply for it through their online Student Portals, in the Fee category. PRS will accept requests sent by the participants at least five days prior to the official due date.

Requests via email will not be entertained. A participant must apply through their online portal via the correct category.

Can I pay my full fee in monthly installments throughout the degree time?

A participant can apply for monthly installments at least 5 days before the official Quarterly due date.

Kinship, and Qarz e Hasna is not a scholarship then why is the CGPA condition applied?

Kinship, and Qarz e Hasna fall under the non-merit scholarship category hence CGPA criteria is applicable.

How can I get a waiver to the Contribution for ILM Fund Scholarship?

You cannot get a waiver to Contribution for ILM Fund Scholarship unless you have a valid reason and the fee fine exceeds Rs 10,000.

Note: The basic amount of Rs 10,000 must be paid and the amount above Rs 10,000 can be waived but only to some percentage.

What are the fee dates?

The tuition fees must be submitted quarterly i.e. 1st of each following month:

1st March
1st June`
1st September
1st December

What is the process of Fee Transfer?

Apply on the Student Portal or write an application for fee transfer and mention your complete previous and new student ID in order to transfer your fees, and submit the application at the PRS help desk.

What is the Decision Validity Time?

General decision is valid up to 3 working days after the decision mail is generated.

Decision with a particular date is only valid till the mentioned date.

What happens if a decision is not fulfilled or revised?

In case a participant does not fulfill the decision, the Contribution for ILM Fund Scholarship will be charged from the default date.

How much Contribution for ILM Fund Scholarship will be charged after the due date of the regular quarter?

Rs.3,000 + Rs.100/- for the first day and an additional Rs.100/- per day would be charged from the second day after the due date.

What if I apply twice for Fee Installments/Extension, in a quarter, what will happen?

If a participant applies for fee installments/extension twice, the first decision of application will be canceled and the second will be applicable. However, students are encouraged not to apply more than once, the second decision may result in request rejection if previous or current policies are not fulfilled.

What are the criteria to maintain merit / non-merit scholarship?

CGPA maintenance criteria is applicable for all merit or non-merit scholarships.

Can scholarships be transferred from old ID to new ID?

Participants need to apply again with their new student ID along with all relevant documents of the particular scholarship and submit it at the PRS Help Desk.

Does UMT offer any need-based financial assistance to participants?

The need-based scholarship is given to needy and deserving participants after scrutiny of evidence provided by the participant and a brief interview. The scholarship/fund is treated as Qarz-e-Hasna which participants have to return in installments of three to five years after completion of the degree. How can I get a waiver by financial assistance?

What would be the requirements for FALC?

Participants desirous of need-based Financial Assistance are required to fill up prescribed Financial Assistance form available at

The following documents are required along with the application:

Evidence of property, if any, owned by Father/Guardian;
Evidence of agriculture property, if any, and income arising thereof;
Copies of bank statement, in case of income from business/Salary;
Copy of rent agreement in case of a rented house or in case of income from house-rent;
Copies of fee bills of dependents, if applicable;
Copies of electricity bills for the period of last six months;
Evidence of Father’s / Guardian’s income like authenticated salary certificate;
Copy of CNIC of participant and father/guardian;

Any other document which the Financial Assistance and Loan Committee (FALC) deems necessary;

Can I apply for two scholarships at the same time?

No, you cannot apply for two scholarships at the same time.

What is the refund policy?

Fresh participants can claim a refund of the tuition fee as per the following policy if the application is moved to PRS Front Desk well in time.

During 1st week of commencement of classes	100% Tuition Fee of the Semester
During 2nd week of commencement of classes	50% Tuition Fee of the Semester
After 2nd week from the commencement of classes	No refund

The admission fee and library fee are non-refundable and non-transferable. However, these are adjustable in case the Participant seeks re-admission within one year and if the Participant informs the office of the Participant Relations Section (PRS) well in time before the start of the semester.

What is the fee refund process for new Applicants?

The refund application must be submitted well in time at the PRS help desk:

What is the fee refund process at admission cancellation or degree completion?

Requirements for Refund application:

When will a participant pay for additional/repeat courses?

After the declaration of the results, if a participant takes additional course/courses, he/she would have to pay the dues with the very next installment.

What is the Scholarship Reinstate policy?

If a participant’s scholarship is suspended due to a low CGPA, it may be restored for one semester and if the CGPA improves to meet the minimum required CGPA criteria, the scholarship will continue.
Participants can avail this facility only one time throughout the degree.
If the participant fails to meet the minimum CGPA criteria after reinstatement, the scholarship shall stand canceled unless the participant meets the criteria in another semester.

Is there any waiver on the orphan base?

There is a discount for the Top Five Orphanage Centers in Punjab. 100% waiver of fees for two students every year. Applications will be sent to UMT and they will be selected on merit basis.

How much waiver I’ll get at 3.00 or above CGPA?

Among the enrolled participants, the top 10% of participants on the Dean and Rector Award lists get a fee waiver based on SGPA for a quarter.
MS/M.Phil participants are not eligible for Fee Waiver.

How much waiver I’ll get at 3.00 or above CGPA for my ongoing degree?

Participants do not get any waiver based on their current CGPA, however, CGPA is required to maintain various scholarships and waiver grants on account of previous degrees.
A participant will get a 3 & 6 credit hours waiver for one quarter if they get listed for Dean’s or Rector’s awards.

How can I get the Rector or Dean Award?

Rector Award: The Rector Award is awarded to the student with 4.0/4.0 GPA. A tuition fee discount of six credit hours is given. Other conditions apply, consult the participant's handbook for more information. No financial waiver for MS/MPhil.
Dean’s Award: Dean's Merit Award is given to the participants earning a Semester GPA of 3.70/4.00 or above (for MBA professional Semester GPA is 3.80/ 4.00 or above), Top 10% receive certificates and a few participants (based on batch strength) receive a fee discount of three credit hours. Other conditions apply, consult the participant's handbook for more information. No financial waiver for MS/MPhil.

What are course code change requirements?

Participants may apply for Course Code Change through his/her online student portal.

Section 3. Grade and Exam related information

At least how much attendance is required to qualify for the end-term exam?

A minimum of 80% attendance is required for a participant to be eligible to sit in the final examination.

What is ‘I’ grade?

‘I’ grade is ‘Incomplete grade'. A participant, owing to an emergency or a plausible reason, may apply for the award of "I" (Incomplete) grade. For an ‘I’ grade, a Participant is required to attend a minimum of 80% of classes and attempt all assignments, projects, and midterms exams. The participant will just appear for the end-term exam of the course(s) graded ‘I in the very next semester.

Private arrangements for an “I” graded examination between a participant and an instructor are not allowed.
The participants who miss a rescheduled exam will not be given a second chance.
The participant will coordinate with his/her department and the OCE.

What is Thesis IP grade?

In case of Projects/Thesis continuing for two or extended semesters, IP Grade shall be graded in initial semesters and the final grade shall be awarded in the last semester based on the evaluation of the project. If participant(s) fails to submit a project in a specified time, then F Grade shall be awarded.

How can a participant withdraw from the courses? Furthermore, what is the effect of course withdrawal on CGPA?

A participant can submit a course withdrawal request on the student portal before the deadline mentioned on the academic calendar.
The participant will be awarded ‘W’ in that particular course(s) in the transcript. However, the SGPA/CGPA shall not be affected.
Participant has to pay the repeat fee when he/she will register for the course again.

What is the difference between course withdrawal and course drop?

A participant can add/drop any course during the add/drop period. After add/drop period adjustments in course(s) registration is not permissible. The fee for the dropped courses will not be charged.
Whereas, course(s) can be withdrawn by the date given in the academic calendar. Participant has to pay the repeat fee when he/she will re-register for the course. They shall be awarded ‘W’ in that particular course(s) in the transcript. However, the SGPA/CGPA shall not be affected.

How to apply for Final Transcript?

Click on FT Clearance Tab.
To start your clearance, overview your documents and related departments and click on the start button.
Read the Undertaking carefully, and click on ‘Yes, I am sure!’ to start the clearance process.
Upload your attested educational documents by clicking on the drop-down button and clicking next.
Fill mandatory * required personal details.

Fill feedback form and click on submit after which you will receive the following message: ‘Your FT clearance request has been successfully submitted. Click on the registration button for the alumni portal.’
Register yourself for the alumni portal.
Note: Applications containing result cards or without attestation will not be acceptable.

When can I receive my Final Transcript?

After clearance from all the concerned departments and completion of the printing process, the participant will receive his/her transcript from OCE.

How can I apply for Duplicate Final Transcript?

In case Final Transcript (FT) is lost or misplaced or has any error, the Participant can apply for a duplicate FT by paying a duplicate fee in the accounts office. The word “Duplicate” or “Revised” will be written on the FT. In order to get a duplicate FT, it is mandatory for the Participant to provide the following documents:

Photocopy of lost FT/degree
Original copy of FIR lodged with police station regarding the loss of FT (in case it is lost)
An affidavit on a stamp paper of Rs. 50/- or more.
Rs 10,000/- for Duplicate Final Transcript
Original clipping of newspaper advertisement announcing the loss of FT (in case of loss)

In case of correction in FT/degree or replacement of a damaged FT/degree, original FT/degree shall be surrendered in whatever shape it exists.

Can someone else receive my Final Transcript on my behalf?

The graduating participant will send an email to OCE, generating a request for someone else to receive FT on his/her behalf. The receiver and participant’s CNIC must be attached with the email.
The receiver must bring his/her and the participant’s CNIC copy.

What is the urgent degree process?

Download the urgent degree form
Attach Rs. 10,000/- original paid voucher
Attach copy of Final Transcript
Attach these documents and submit them in the Examination Help Desk in the Admin Building

What is the process timing for an urgent Degree?

7-10 working days.

What is the required CGPA for my degree?

For the bachelor’s program it is 2.00, for the master's program it is 2.50, and for the Doctoral program, it is 3.00. Please refer to Participant’s Hand Book for more details.

Section 4. Student Portal

To whom should I contact if I cannot log in to the student portal?

Who should I contact if I forgot my student portal password?

If you forget the student portal password then please click on Forgot Password? or contact IPC.

Section 5. Semester Freeze / Semester Leave related information

What is the procedure to get a semester freeze?

Semester freeze requests are submitted through the student portal.
A participant may freeze his/her semester due to any plausible reason for a maximum period of one year (two semesters in a four/five-year degree program) and one semester in a two-year degree program. However, freezing of the first two semesters is not allowed for a four/five-year’s degree program and the first semester in two years’ program.

What is the time duration to apply for Semester Freeze?

A participant can freeze his/her semester without any fee by the end of the add/drop period. However, the semester freeze can be processed before midterm exams by paying Rs.10, 000/-

How can I unfreeze Semester?

A participant can apply for Semester unfreeze through his/her online portal.

Section 6. Credit Transfer / Migration to and from other universities

Do international universities accept the transfer of credits from UMT? If yes, what is the procedure?

All degree programs of UMT are recognized by HEC. Official Transcript signed by OCE and Course outlines attested by the Dean of the respective program is required.

How can a candidate transfer his/her credit hours from any national or international university to UMT?

The parent university should be HEC-recognized and in case of an engineering program, PEC recognition, or recognition of other regulatory bodies will be required.
Attested Course outlines of studied courses and transcript issued by the Exam department of the parent university will be required.

What is the procedure for cross-campus credit transfer?

A participant may transfer his/her credits earned at UMT to other campuses of UMT by submitting the following documents, two weeks prior to the start of a new semester.

Credit transfer form with approval of the concerned Dean of School/Institute or parent department.
Clearance from the lab, library, and accounts department of the parent campus.
Progress report signed by the Examination Office of the parent campus.

Note: Credit transfer across campuses is subject to the availability of seats in the intended program.

What is the procedure to migrate from UMT campus to any other HEC chartered University?

A participant seeking migration should apply for University Leave on the Student Portal.
After getting the clearance, the participant may apply for a Progress Report, NOC, and/or any other document by submitting an application at the Helpdesk.

Section 7. Degree Program related Information

What is the maximum duration of the program?

The maximum duration of the program level-wise is appended below:

Note: The maximum duration is inclusive of availing semester freeze/leave, repeat course, and dismissal on disciplinary grounds etc.

Is Program Change possible and what’s the process?

Program change requests can be made through the student portal based on the fulfillment of the current admission criteria of the desired program.

A fee of Rs. 25,000/- shall be charged as a program change fee. The fee package will be as per the new program.
A participant may apply for change of program at least two weeks before the commencement of classes.
Participants can’t transfer their program to any PEC program.
After add/drop week; application of program change will not be entertained.
Program change requests can be entertained only once. However, program change for the second time shall require approval from a competent authority followed by a CGPA requirement of 3.00 or above for undergraduate programs.
A fee of Rs. 50,000/- shall be charged as a program change fee for the second time. The fee package will be as per the new program.

Note: Program change will not be allowed in case the participant is on Last Probation.

When do I take Readmission in the same program?

Re-admission fee of Rs. 25,000/- will be applicable to those students who will miss two consecutive semesters without taking the formal approval. I.e. Semester Freeze. In addition, this fee will also apply to those who apply for re-admission in the same program without going through the admission test.

What is the Readmission with the issuance of New Student ID policy?

Re-admission, without going through the admission process, is granted to only those Bachelor, Master, MS/MPhil program participants who have been dismissed on academic grounds due to low performance.
The participant will have to pay the readmission/new ID issuance fee of Rs. 10,000/- and will respond to the new package.
Participants will apply for Readmission through their online student portal.

What is the Readmission Process?

Re-admission, without going through the admission process, is granted to only those Bachelor and MS/Master participants who have been dismissed on academic grounds.
Dismissal based on the expiration of the maximum degree duration from the date of first registration shall also render such participants inadmissible for re-admission.
The participant will have to pay the readmission fee of Rs. 25,000/- and will respond to the new package.

Section 7. Student ID Card and related information

I lost my Student Card, how can I get a new one?

Submit a request on Student Portal, print out a voucher for Student Card, pay the voucher at Meezan Bank or Allied Bank Ltd., and send an online copy of the paid voucher to [email protected]. Visit the PRS Card Scanning area on the 2nd floor in the Bank Building along with a paid voucher to receive your new Student Card.
You can also get a voucher issued from the OTR help desk on the first floor of the Admin Building.

Section 8. Letters / Forms and related information

The requirements for issuance of different letters are given below:

Bona-fide Certificate Requirement

Apply online via Student Portal
Pay Rs.1,000 Voucher for Normal (2 working days) or Rs.1,500 for Urgent (3 working hours)
Attach Matric Result Card Copy or FT in case of a graduate.

Character Certificate Requirement

Degree should be completed

English Proficiency Certificate

Hope Certificate Requirement

Hope Certificate is only issued in the last semester.
Advisor’s comments and approval are required.

NOC Requirement

Degree should be completed or the Participant has to be a dropout.

Project Letter Requirement

What are the requirements to verify the Benevolent Form?

Attach all your previous credentials and student ID and Passport size pictures with complete detail filled on the form and submit them at PRS Help Desk.

When will I receive my (specific) letter/ Benevolent Form after verification?

Within two working days.

How can I update my Personal Data (i.e. name correction / contact no. / Postal address)?

Apply online via Student Portal, and attach relevant documents.

Section 9. Convocation-related information

When will the convocation date be announced?

The convocation date will be announced according to the Academic Calendar.

What are convocation charges?

Convocation participation charges will be announced via email during the registration period.

How many guests can I bring to the convocation?

The number of guests allowed will be notified via email.

Do I get any refund after the convocation?

No.

Can I transfer the convocation fee to another student?

No.

What are the rules and regulations to attend convocation?

Keeping in view the decorum of the ceremony, the participants are requested to please observe the following rules during the proceedings of the Convocation.

Only formal dressing is allowed on the day of rehearsal and Convocation.
Mobile phones and cameras are not allowed.
All graduates should be wearing their gowns properly ironed as approved by their respective schools.
Unnecessary movements, gossip, and exchange of seats will not be tolerated inside the convocation hall.
Do not leave the hall till the closing of the entire ceremony.
For group photographs, you may come out of the hall after the announcement only.
Full cooperation toward maintaining discipline and sobriety during the ceremony is expected.
